Documents checklist
Getting your documents ready early can make the admission process much easier.
Required from most candidates
- National ID, or birth registration certificate if you do not yet have an NID
- Academic certificates and transcripts for your highest qualification
- Passport-size photographs with a plain background
- Passport bio-data page, if you already have a passport
Required when relevant
- Employment certificates or appointment letters for claimed experience
- Reference letters for experience you want counted as verified
- Existing maritime documents for maritime pathway candidates
- Placement test result for language programmes
How document verification works
- File format
- Clear colour scans in PDF, JPG, or PNG, up to 5 MB per file
- Upload
- Through the candidate portal only — not WhatsApp or social media
- Review
- Admissions checks each file and may ask to see the original
- Status
- Verified, under review, or missing — visible in your profile
- Name mismatch
- Must be resolved with the issuing authority before verification
- Retention
- Kept only for the period stated in the data retention schedule
Keep your documents safe
Avoid sending passports, medical records, or financial documents through WhatsApp or social media. When appropriate, watermark sensitive copies with “For BIWD admission review only” before uploading.
